Modern Communication Methods for Busy PMs
Communication is one of the most important factors for project success. It can be external (with clients, subcontractors, third parties, certification authorities, governmental entities, and even other departments within the same organization) and internal (within the project management team).
Team members should be fully aware of project objectives, contractual obligations and client requirements. In addition, each team member must be fully aware of their duties and responsibilities—and how their task progress affects teammates (and gets affected by the global project plan).
As a project director, I take care of the project portfolio within my company—a major EPCI (engineering, procurement, construction and installation) offshore contractor. In addition, sometimes I overtake complex projects as the project manager.
Due to the nature of this market segment, the project team must have several execution scenarios in place that suit various weather conditions and sea states (with associated logistics, procedures, risk assessments, etc.). By default, we apply conventional communication tools and methods within the organization to communicate with and connect the project team at different locations (office, workshops, sites, offshore vessels).
This includes:
- Follow-up meetings
- Conference calls
- Emails
- Scope traceability matrix
- Scope requirements
