Reduce Your Workload by Leveraging PMO Content Resources

You no doubt have heard plenty of advice about the importance of making sure your team is well-prepared for its work (my articles and blog posts included). Suppose, though, that you have a new project management process to follow, or a project team made up of mostly contractors working for your organization for the first time. Fulfilling best practices here can be a heavy training and coaching burden for you to manage.

One way to reduce this burden is to have your project workforce go to a central source for the guidance and templates it needs. Here are tactics to use to leverage your organization’s PMO site, a key resource in this case.

1. Promote use of the PMO site at onboarding. The PMO site is full of process information and useful templates. Keep it top of mind as you onboard new workers or as your team learns a new project management process.

  • Train the workforce on how to navigate to the site and what resources are there.
  • List the benefits of their checking the site often (to find process steps and templates for documentation, for example). See below for more ways to promote benefits.

2. Answer the question, “What do we do?” as phases start. The PMO should have specific details on how to manage the activities of a project, especially start and stop points. Role definitions and stakeholder involvement should be included.
